Proposal Coordinator

Under the supervision of the Lead, Proposal Coordinator, the Proposal Coordinator is responsible for a variety of duties related to supporting the Estimating Department.

Key Responsibilities Review, understand and develop a detailed understanding of client bid requirements Developing proposal calendars and responsibility matrices Creating proposal templates, resume templates, project sheet templates Prepare or edit key staff resumes, project sheets, and organization charts Organize and schedule team meetings, prepare meeting agendas and take meeting minutes Formatting proposal, resume, and project sheets in preparation for proposal close-out Oversee the writing, formatting, and proofing/editing of proposals based on input from multiple authors Tracking proposal deliverables required from internal and external partners Research relevant statistics (e.g.

tracking previous project experience and work history), project work plans and other sources of information to extract relevant content Gather and coordinate flow of information from subject matter experts to be used in proposal Ensure that all proposal content is supplied by the team in order to be compliant with the RFQ Print, package and submit final bid/proposal submissions prior to deadline Work with graphic designers to develop JV logos, binder and tab designs etc.

and present to consortium Ensure binders, USBs, tabs, covers and other materials are ordered and available for final assembly of proposals Attend pre-bid meetings and post-bid debrief meetings.

Document results & lessons learned; report back to the project team Managing SharePoint or other document management systems (e.g.

OneDrive, Dropbox, etc.) Data entry in order to maintain accuracy of pursuit reports and scheduling Track and report on Key Performance Indicators (KPIs), and other team objectives May be required to prepare period reports for senior management Required Knowledge and Experience Strong communication and writing skills Advanced skills in Adobe, Word, Excel, Visio and PowerPoint High degree of organizational skills Technical background with a discipline focus in Civil, Structural, Water, related technical discipline or construction experience SharePoint administration experience an asset Marketing and design experience an asset Data Entry experience Aecon has every intention of fostering diversity within and across our organization.
